1. Purpose
The purpose of this policy is to establish clear guidelines regarding photography and video recording within HAUS OF ÄSTHETIK to protect patient privacy, maintain professional standards, and comply with insurance and regulatory requirements. This policy ensures that:
• Patients understand when and why photographs may be taken.
• Unauthorised photography and video recording within the clinic is strictly prohibited.
• Patients have the right to opt out of social media or branding use of their images.
• Any images used for marketing are edited to minimise patient identification.

2. Scope
This policy applies to:
• All patients attending the clinic for consultation or treatment.
• All staff, including injectors, receptionists, and management.
• All visitors, including friends, family, and chaperones.
3. Unauthorised Photography & Video Recording
3.1 Strict Prohibition of Personal Video & Photography
• Patients, visitors, and staff are not permitted to take photos or record videos within the clinic without explicit permission.
• The use of mobile phones, cameras, or other recording devices is strictly prohibited inside treatment rooms.
• This restriction is in place to protect the privacy of all patients and staff and to ensure a professional clinical environment.
If a patient or visitor is found recording without permission:
• They will be asked to immediately stop recording and delete any unauthorised content.
• Repeated breaches may result in the patient being refused future treatment.
• Any suspected breach of privacy will be reviewed under the Data Protection & Confidentiality Policy.
4. Mandatory Pre & Post-Treatment Photography for Insurance Compliance
As part of HAUS OF ÄSTHETIK’s insurance requirements, patients will be asked to consent to pre- and post-treatment photographs.
• These images serve as medical records and proof of treatment outcome.
• They are stored securely on the Insync Insurance consent database and are not shared publicly.
• These photos are used solely for patient safety, legal compliance, and clinical auditing.
Patients must consent to these images as part of their treatment. If a patient refuses, they may be ineligible for treatment due to insurance restrictions.
5. Social Media & Marketing Photography
5.1 Opt-Out Option for Social Media Use
• Patients have the right to opt out of their images being used for marketing or branding purposes.
• This opt-out option is clearly provided in the consent pack, which patients complete before treatment.
• Opting out does not affect a patient’s ability to receive treatment.
5.2 Minimising Patient Identification in Social Media Content
• If a patient agrees to social media use, HAUS OF ÄSTHETIK will edit images to minimise identifiable features where possible.
Efforts will be made to:
• Avoid including full facial features unless explicit consent is given.
• Use watermarks and branding overlays to discourage unauthorised sharing.
• Ensure captions and content remain professional and ethical.
However, patients acknowledge that complete anonymity cannot always be guaranteed.
5.3 Withdrawal of Consent for Social Media Use
• If a patient changes their mind after giving consent, they may request the removal of their images from social media.
• While HAUS OF ÄSTHETIK will honour removal requests, images that have already been shared cannot always be fully retracted from third-party platforms.
6. Secure Storage & Data Protection
All photographs and videos taken for medical or marketing purposes are:
• Stored securely within the clinic’s Insync Insurance consent database.
• Not accessible to unauthorised individuals.
• Retained in line with GDPR guidelines and medical documentation laws.
Patients can request access to their images at any time in accordance with HAUS OF ÄSTHETIK’s Data Protection & Confidentiality Policy.
7. Staff Responsibilities & Training
• All staff members must ensure that patients fully understand this policy before taking any images.
• Staff must inform patients that they can opt out of social media images without affecting their treatment.
• Clinical staff must ensure secure storage of all patient images to maintain GDPR compliance.
8. Compliance & Policy Review
• This policy will be reviewed annually or in response to regulatory changes.
• Any breach of this policy will be investigated under the clinic’s Data Protection & Confidentiality procedures.
